Sound familiar?
- 01
Absence notes arrive by WhatsApp, email, and word of mouth — nobody knows who's coming to rehearsal until it starts.
- 02
Sheet music and documents circulate as email attachments, and half the members always have last season's version.
- 03
Membership fees live in a spreadsheet, and chasing late payments falls on whoever feels responsible this month.
How Timeplanned handles it
Member self-service absences
Members record their own vacations and absences in the portal — no more collecting messages before every rehearsal.
Shared absence calendar
Everyone sees who is away when (first names only), so planning the next session takes one glance.
Materials in one place
Sheet music, notes, and documents are shared with the whole organization — members download them anytime, and can upload their own if you allow it.
Membership fees & SEPA
Automatic month-end billing, with SEPA direct debit for euro billing — a mandate approved once, fees collected automatically.

- What is the Club plan?
- Club is Timeplanned's plan for clubs and associations. It costs the same as the Solo plan — $9.99 per month or $99 per year, in the euro area €9 or €89 — and adds the member-portal community features: member-recorded absences, the shared absence calendar, and materials sharing.
- Can members record their own absences?
- Yes. On the Club plan, members sign in to the portal with an email link and record their own absence periods. A shared calendar shows who is away when, using first names only.
- Can we share sheet music and documents with members?
- Yes. The Club plan includes a materials area for the whole organization — sheet music, notes, and documents organized in categories. Members download them from the portal, and you can allow member uploads too.
- How does a club collect membership fees?
- Timeplanned bills automatically at month-end based on each member's contract. Clubs billing in euros can collect by SEPA direct debit via Stripe: members approve a mandate once, and invoiced amounts are debited automatically.
